This policy explains what information ChinaBuy Pro (“we”, “us”) collects when you use our website and inquiry forms, why we collect it, and the choices you have. It applies to information you actively submit — we do not sell your personal data.
1. Information we collect
When you submit an inquiry (including the business sourcing trip form), we collect the details you provide, such as:
- Name and contact details (email and/or WhatsApp number);
- Company and country, if you choose to provide them;
- Service type, destination city, travel dates, product category, requirements, budget, number of days and any existing supplier contacts;
- A unique system-generated inquiry reference number, the server-submitted date and time, the referring page, and basic campaign parameters (UTM) used to understand which link brought you to us.
For security and abuse prevention, server submissions also retain a one-way, salted hash of the sender IP address — not the IP address itself — used only for rate-limiting and spam detection. We also collect standard, non-personal analytics data (such as pages viewed and aggregate events) to understand how the site is used.
2. How we use it
- To respond to your inquiry and prepare a quote or sourcing plan;
- To arrange trade show, factory, wholesale-market or supplier-meeting support;
- To communicate with you before, during and after your trip;
- To improve our website and services using aggregate analytics.
Analytics events do not include your name, email, phone number or the content of your inquiry.
3. How inquiries are transmitted and stored
Our business-sourcing form offers two ways to reach us. When you press “Submit My Inquiry”, your details are sent over HTTPS to our Cloudflare-hosted server endpoint, validated server-side, checked with anti-spam (a hidden honeypot field and content checks) and per-sender rate limiting, and stored in our internal database with a unique inquiry reference. A success message appears only after the server has confirmed it received your inquiry. We may also send an internal notification email so our team can respond.
Alternatively, “Send via WhatsApp” composes your details into a message and opens WhatsApp for you to review and send to our verified business number; nothing is sent until you choose to do so. WhatsApp processes that message under its own privacy policy.
4. Sharing
We do not sell your personal information. We share sourcing details only with the on-the-ground team members and, where necessary, suppliers or factories involved in arranging your requested service. We never share your product ideas or supplier discussions with unrelated buyers.
5. Data retention & security
Inquiry records are stored in our access-restricted Cloudflare database (with administrative access protected by Cloudflare Access) and retained only as long as needed to respond to and fulfil your request and for normal business records, after which they are deleted or anonymised. We collect only the information needed to handle your inquiry — there is no separate mailing-list signup, and optional fields can simply be left blank. We use reasonable administrative and technical safeguards, including HTTPS transmission, server-side validation, spam protection and rate limiting. Sensitive payment details are not collected on this website; bookings are confirmed and deposits arranged through direct communication.
6. Cookies and analytics
We use Google Analytics 4 and similar tools to understand aggregate usage. You can control cookies through your browser settings.
7. Your choices
You may ask us to access, correct or delete the personal information you have submitted, or opt out of further communication, by contacting us using the details below.
